Minutes of Maxton 21 AGM held on Tuesday 12th January 2016

Present Jimmy, Janet, Charlie, Elvira, Isobel, Eileen, Ron, Douglas, Gavin, Geoff and Rhona.

Minutes of AGM held on 16th March 2015
The minutes of the previous AGM held on 16th March 2015, having been made available, were accepted as an accurate record.

15th Annual Report for AGM
Charlie presented the 15th Annual Report to the AGM. The report was accepted as an accurate record of the events and happenings of 2015.

Treasurerís Report
Because of the need to get ahead with the application for Charitable Status, the accounts are not yet available. They will be made available when they have been audited.

Office Bearers for 2016
The Office Bearers for the coming period;

Chair/Diary Jimmy has agreed to continue as Chair for a maximum of three months, while the negotiations for Charitable status are ongoing.

Secretary Vacant
Treasurer Isobel has agreed to continue as Treasurer until the Annual Accounts have been presented.

Neighbourhood Watch
The present members of the Neighbourhood Watch team have expressed a willingness to continue. Their work includes the overseeing of the new No Cold Calling Zone, as required.
The Area Co-ordinator is Charlie Denoon
The Co-ordinators are Tony and Helen Herring
The Secretary is Elvira Denoon.

Any Other Business
The future of the group and ways round the current shortage of volunteers to carry out the work of the Committee, particularly during the possible change of status, were discussed at length. It was agreed that Douglas and Gavin would lead a series of personal approaches to individuals within the community to try to gain their support. The possibility of extending the boundaries of the group, beyond the Maxton Parish, was also suggested, as was linking the Hall with another local hall. The change of status would allow alterations to the existing Constitution should that be the will of the membership..

The AGM was concluded at 8.12pm at which time a brief meeting of Maxton 21 commenced.
