Maxton 21 - Minutes of the Meeting of 21st May 2007

MAXTON 21 MINUTES OF THE MEETING OF 21st May 2007

The meeting took place in Maxton Village Hall at 7.30pm. There were 8 people present, (Paul, Jimmy, Douglas, Vera, Priscilla, Eileen, Isobel and Rosemary).

Apologies received from Charlie and Elvira, Thomson and Tom.

The following items were reported on and/or discussed:

The minutes were approved with no changes required.

TREASURER’S REPORT
The funds now stand at:

FUTURE EVENTS
Coffee Morning - 26/05/07
Set-up is on Friday evening at 7pm
Paul to pick plants up from Vera’s house at 9.30am
Jimmy volunteered to do the raffle.
A note has been sent to the Southern Reporter for this week’s edition.

A Taste of Italy – 16th June 2007
An evening to incorporate an Italian quiz, wine tasting & music. Eileen will do the quiz. Paul volunteered to get the wine and organise some music for the evening. The tables to be dressed in red and green with white serviettes and white dishes where possible. There was also the question of a licence for the wine tasting and Paul said he would look at this. An Italian cheeseboard would also be arranged. It was also suggested that the people who supplied the food would get free entry to the evening as a gesture of thanks. Priscilla volunteered to email the church newsletter to advertise the event in the parish. Paul & Rosi’s telephone number to be used for people to get further information and also as a guide to how many may be coming.

Bar-b-que - 7th July 2007
Details to be arranged at next meeting. This event will also need to go into the newsletter. It was mentioned that we already have charcoal from the previous one.

HALL REPORT
a) The cleaning of the hall has been very successful.
b) A discussion had occurred regarding the doors etc and building control. Once the toilets are completed then the disabled access will be done followed by the decorating.
c) A damp patch had been looked at and it was discovered there was a gap between the chimney and the roof. The council have agreed to get this work done.
d) The windows have been repaired and the painters will return to paint the frames.
e) A plumber will be brought in to lag the pipes.
f) The door leading into the gents will be rectified and will now open at a different angle.
g) There is now a vacancy on the hall committee as Ann has resigned.
h) The lottery application is valid until December by which time the work has to be completed.
i) The corridor will be the next part of the project.
j) The MS Society will not be returning and the Pilates Group are happy and have renewed their hire of the hall.

WEBSITE
All of the sponsors have returned for 2007-2008 and monies have been received.
During the month of April, 15008 separate visits were made to the site looking at a total of 18164 pages.
The Buccleuch Arms Hotel and the Nature Calendar Pages were the most popular.

HMS MAXTON
Apart from the new Ton Talk being available, there is nothing further to report.

NEIGHBOURHOOD WATCH
Nothing to report.

ANY OTHER BUSINESS
BAAGS have replied and are delighted we have chosen them to be our charity for the year. They will also be happy to advertise any events we are running to support them. It was suggested that perhaps the proceeds from the raffle at the coffee morning could go to BAAGS and perhaps we could think about a percentage of other events could also go, thereby eliminating the need to get a good attendance number at 1 event later in the year. This latter idea needs further clarification at a later meeting.

It was suggested that perhaps the coffee morning in September could also have a produce table, (fruit, flowers, crafts etc). Some of the proceeds of this could also go to the charity.

There was a brief discussion as to what musical evening we could have later in the year and Isobel agreed she would ask Tom about the prospects of Carlen Jig to give a new date for when the hall is completed.

Paul mentioned that Gordon Grant had given his hostess trolley to the village hall, for which there was appreciation. People present thought it would be nice to get a card and have individuals sign it and send it to him. It was also suggested that a donation could be given to BAAGS on his behalf.

The role of secretary was still vacant and it was agreed that there was the need for a secretary and that perhaps people would take turns at taking and writing up the minutes. Vera was excused from this.

Maxton Meets Speakers:
Vera has been in touch with the Storyteller and unfortunately she now lives in North Wales. She did suggest that Vera get in touch with a lady called Sybille Alexander and she will have a meeting with her to decided what subject she will speak.
The other speakers are nearly all confirmed.
A list of speakers and topics could be included in a later Church Newsletter as an insert.

It was also said that Ann had resigned from Maxton 21.

Jimmy gave apologies for the next meeting and Isobel and Tom may be absent too.

Eileen to take the minutes at the next meeting.
