Minutes of 2008 Annual General Meeting

Held on 9th October 2008 at Maxton Village Hall

Chairpersons Welcome and Report:
Andrew welcomed everyone present to the second AGM of Maxton and Mertoun Community Council.

Minutes of the previous AGM held in September 2007 were read as no matters were arising from the minute they were passed as a ‘Correct record’ by: Penny Harvey

Chairpersons Written Report

Our last year has been one of slow and quiet progress, reflecting the nature of those on the council and the community generally.

Our pursuit of speeding issues continues, no real progress, not helped by the sudden absence of a Community Policeman at meetings. We will, however not give up on this important matter.

On a more positive note, we have built good working relationships with Councillor Len Wyse, who regularly attends and reports back on issues raised at the meeting.

The problem with lack of notice concerning meetings from SBC continues, resulting in our lack of attendance. Members, however, members of the community council have attended various seminars through the past year on a range of subjects.

We have made some inroads to establishing additional facilities for the children and young people of the village. Ann has spoken to Jade, one of our younger residents to find out what she and others would like and we will pursue this in the coming year.
Wooden tubs have been ordered and built from Colin Robertson and will soon be placed at either end of the village for floral displays.

As a newly formed Community Council we were sorry to accept Vera Holbrook’s resignation earlier this year and thank her for her valuable contribution in setting up the re-formed Community Council and the work she did and support she provided during the very important early stages of the Community Council.

Finally a thank you to all the Community Councillors for continuing to be supportive and working together so well

Presentation of Approved Annual Abstract Accounts:
Isobel presented the approved accounts for 2007 – 2008 those present accepted them as a true account of the Community Council’s income and expenditure for the above financial year and were signed off by the Chairperson, Treasurer, and Secretary.

Isobel explained that we will, as agreed after discussions with SBC that we should move our financial year to 31st March 2009 to fall in line with other CC and SBC own financial year. This action will require us to audit our accounts again in April 2009 so bringing forward the 2008-09 AGM to fit in with the new financial year.

Bank Balance at 9th October 2008 is: £1, 291. 29

Nominations for Community Council Members to Represent Mertoun:
None received

Annual General Meeting closed with thanks from the Chairperson to all that took the time to attend. There will also be a brief meeting of the Community Council to arrange next year’s meetings and deal with ay outstanding mail or business.
